Challenge
As Kieser expanded across Australia, its finance operations struggled to keep pace with the company’s rapid growth. The finance team was managing 27 separate Xero accounting files, each with its own chart of accounts, suppliers, and customers.
“Consolidation had become really painful,” said Dianna Butterworth, chief financial officer at Kieser Australia. “Simple reports could take days, and our integration between the CRM and finance systems was constantly breaking down. This made it difficult for our leaders to make timely, data-driven decisions.”
These system failures delayed reporting by up to 25 days and tied up Kieser’s technical team, preventing them from focusing on strategic projects. As the business prepared to expand to 50 or even 100 sites, it was clear that the existing setup wasn’t sustainable.
“We needed a scalable system that could stabilise our backend and support sustainable growth,” Butterworth said.
Solution
Kieser selected NetSuite as its enterprise resource planning (ERP) platform and partnered with Annexa to lead the implementation. To ensure a seamless integration between Kieser’s custom CRM (Logic Plus) and NetSuite, Annexa partnered with Celigo to deliver the critical connection.
“Celigo understood our systems from day one and that gave us confidence,” said Butterworth. “They knew exactly how to connect our systems, even though our CRM was custom-built in-house.”
Using Celigo’s integration platform, Kieser’s finance team can now manage and monitor data flows directly, without relying heavily on IT support. “If there’s ever an issue, we can identify and resolve it ourselves within finance,” Kieser noted. “It’s almost completely eliminated the need to pull in our tech team, freeing them up to focus on innovation for our clients.”
Results
With NetSuite and Celigo in place, Kieser transformed its finance operations from reactive and fragmented to fast, data-driven, and confident.
- Reporting time cut from 25 days to 3 days: “This improvement allows real-time insight into performance across every clinic. Leaders and the executive team can now make decisions quickly and with confidence,” said Butterworth.
- Finance productivity doubled: The ratio of bookkeepers to clinics improved from 1:5 to 1:12, with capacity to grow further.
- Real-time visibility across 30+ clinics: “Yesterday’s data is available to us at 9am the next morning. Every clinic leader can log in and see real-time sales information.”
- Higher morale and engagement: With repetitive manual work eliminated, finance staff have shifted from data entry to analysis and decision support. “The team feels like they’re adding real value to the business, not just coding invoices.”
Kieser plans to extend the integration for two-way data flow between its CRM and NetSuite and explore new automation and AI capabilities.
