The connector supports two refund policies:

Formal returns process in which the items must be RMA’d before a refund is issued

Direct refunds issued without a RMA, in case of goods lost in shipping or for the sale of non-inventory items

Handling Returns

The connector supports business flows where return authorizations, restocking and refunding are processed in NetSuite.

When a Cash Refund / Credit Memo is issued for a Return Authorization, the Connector will create a corresponding Credit Memo in Magento. The Credit Memo in Magento is not explicitly linked to the RMA in NS; the RMA# is only included in the comments section of the Credit Memo.

If items are restocked, the inventory levels in Magento are automatically updated during the next inventory sync.

Issuing Refunds without a RMA

If the customer needs to be refunded directly without going through the RMA process, you may do so either from Magento or from NetSuite.

If a customer is refunded by issuing a Credit Memo in Magento, the Connector will generate a NetSuite Credit Memo or a Cash Refund based on whether the sale was a credit or cash sale.

If a customer is refunded in NetSuite by issuing a Cash Refund for a Cash Sale or issuing a Credit Memo for an Invoice, the Connector will create a corresponding Credit Memo in Magento.

Therefore, you need to first remove the existing attachment from the list and then upload the new one.

3.What is the size limit on a single file upload?

The maximum size of a file upload that can be uploaded through the upload window depends on several factors:

Limitations imposed by NetSuite on the amount of data that can be sent to a Suitelet

Whether the "Convert documents..." check box is turned on

The type of file you are attempting upload

NetSuite imposes a limit of 5MB on the amount of data that can be sent to a Suitelet. Note that during a file upload, the browser sends additional data along with the file being uploaded. Therefore, the file size that a Suitelet can receive falls slightly below 5MB*. Since the CloudExtend Gdocs processes the file uploads via a Suitelet, it is bound by this limit.

Google Docs imposes its own limits on the files that it's requested to convert to native Google Docs formats. These limits vary by the type of file being uploaded.

Given these limitations, size limits on the files that may be uploaded to Google Docs can be summarized as:

If the "Convert Documents..." option is turned off, you may upload files that are less than* 5MB.

If the option is turned on, you may upload;

Documents - up to 1 MB per file

Presentations - Less than* 5 MB per file

Spreadsheets - Less than* 5 MB per file

Drawings - up to 2 MB per file

PDF or image files - up to 2 MB per file

If you need to attach files larger than those listed above, you can do so by directly uploading them to Google Docs and using the Search and Attach feature to attach them to NetSuite records. This would allow you to attach files as large as 1GB.

4.How many files can I attach to a NetSuite record?

Theoretically, you can attach up to 10,000 files to a NetSuite record. However, we recommend that you limit the number of attachments per record to 500.

This recommendation is based on the product's ability to refresh only the first 500 attachments on a record. Refreshing an attachment is a slow and resource intensive process. Depending on your network speed and other external factors, refreshing of a attachment list could start at a little less than 1 second per attachment and drastically increase as the number of attachments goes up. Therefore, the CloudExtend Gdocs will abort once it has refreshed the first 500 attachments of a record.

5.I deleted/renamed a file in Google Docs but, the attachments list still shows the old file name. How do I update the attachments list?

As explained above, refreshing an attachment list is a slow, resource intensive task. Therefore, you need to invoke this process manually by clicking on the "Refresh" button above the attachments list.

6.Can I attach Google Docs to ____?

CloudExtend supports attaching Google Docs to a set of commonly used NetSuite record types out of the box. As a NetSuite administrator you can enable this functionality to virtually any NetSuite object, including Custom Records by following these steps:

Click New Deployment button

Select the Record type for which you want to enable Google Docs functionality, in the Applies To field.

However, you can turn off the gadget to sub-organisations in your Google Apps domain. In order to exclude only a specific user, you should create a sub-organization containing only that user.
The NetSuite API does not provide a way to set the date on a message record. The date will therefore default to the date on which the message was created in NetSuite.

Therefore no reminders will be set on either end.

It should also be noted that default event reminders in both Google and NetSuite are set via preferences and subsequently ONLY through the native interface when a meeting event is created.

This means that if your default meeting reminder preference for Google is set to an email ten minutes before an event for every meeting created, when a NetSuite meeting is added to Google the reminder cannot be set based on your default preferences (again, because it’s managed through the user interface). Reminders will need to be manually set once a meeting has been synchronized on either system.

Example #1

I’ve created a meeting event directly in the Google Calendar. The default reminder in Google is an email ten minutes before the event, and a screen pop-up ten minutes before the event. When the meeting appears in the NetSuite Activities list for your account, the reminder will be set to “None”.

Example #2

My NetSuite Default Reminder Type is set to Email in my Activities Preferences, and the reminder time is set to 15 minutes. When the meeting appears in the Google Calendar after a sync completes, the default reminder will be empty.

The field can’t be mapped because in Google ‘Privacy’ and ‘Availability (Show me as)’ are two different fields whereas in NetSuite they both appear under Event Access. As a result its not possible to setup a direct correlation between the two.

3.Why do some events have the Organizer field set to "-System-"?

Events created by the CloudExtend Google Calendar Import on a scheduled basis will have the value for "Organizer" set to "-System-". This is because NetSuite does not let us override the value of this field to someone other than the event creator when importing events on a scheduled basis. We are able to set the "Owner" field to the correct value for the imported event, but NetSuite will not let us change "Organizer" to be the event owner as well. Please note that if you run the CloudExtend Google Calendar Import on-demand the Organizer field will be set to your login name, and you will be invited to the event!

That means that if you create an event in NetSuite and go in to Home > Set Preferences and change the timezone, the script will continue to use the old timezone when syncing. To work around this, please log out of NetSuite and log back in, before creating an event after changing the timezone.
